eBrigade Payroll module: the PayFit connector
Your employees’ PayFit contracts and payslips, opened from eBrigade
Link your employees to PayFit: each eBrigade record finds its PayFit collaborator, their contract and their payslips. Differences between the two contracts are flagged, payslips open without being stored, and nothing is written to PayFit. A free module, included in eBrigade.
These buttons are about the full eBrigade subscription: this module is included at no extra cost in every plan.
Link your employees to PayFit: records matched, contracts and payslips viewable from eBrigade. One encrypted PayFit API key per employing organisation; matching by employee number, then by e-mail or by name and date of birth; differences flagged between the PayFit contract and the Contract tab; PDF payslips relayed without being stored, and a nightly sync. Nothing is written to PayFit.
What does the eBrigade Payroll module do?
The Payroll module connects eBrigade to the PayFit payroll software, read-only. Each employing organisation saves its PayFit API key; eBrigade matches its employees with PayFit collaborators by employee number, e-mail or name and date of birth, compares their PayFit contract with the one in eBrigade and opens their payslips as PDFs without storing them. The module is free and included in eBrigade.
Why connect eBrigade to PayFit?
Schedules, hours and staff records live in eBrigade; contracts and payslips live in PayFit. In between, the same person exists twice, is entered twice, and the two versions end up drifting apart: a contract end date corrected on one side only, weekly hours that no longer match, a missing employee number. The operations manager has no access to the payroll software, the payroll manager has no access to the schedule, and an employee who asks for a payslip waits for someone to send it.
What the Payroll module changes in eBrigade
Each employee record in eBrigade is linked to its PayFit collaborator, once and for all. Its Payroll tab shows the contract read from PayFit next to the one in eBrigade, line by line, and highlights what doesn’t match — job title, dates, probation period, contract type, weekly hours, working time; a button copies the PayFit value into eBrigade. Payslips open from the record, for those allowed to see them. The sync runs again every night, and PayFit remains the only source of payroll: eBrigade writes nothing to it.
What you can do with Payroll (PayFit)
Each employing entity has its own PayFit account; the organisations attached to it inherit it. The key is checked with PayFit, encrypted, never shown again, and refused if it gives access to bank details or social security numbers.
The employee number links automatically; e-mail, then name and date of birth, give suggestions to confirm. A candidate is only kept if it is unique on both sides, and a rejected pair is not suggested again.
Job title, contract start and end, end of probation, contract type, weekly hours, working time and collective agreement: differences are highlighted, and the PayFit value can be copied into eBrigade in one click.
The payslip is read from PayFit when it is opened and relayed as a PDF, with no copy on the server. The organisation decides whether each employee can see their own payslips from their record.
Employees and their contracts are read again every night, when the screen is opened if the last read is more than a day old, or on demand. If PayFit does not respond, nothing is deleted.
eBrigade writes nothing to PayFit. Setting up, viewing payroll data and viewing payslips are three distinct permissions, held by administrators until you hand them over.
Step by step
In PayFit, Integrations › API access: create a read key, without access to bank details or social security numbers.
In eBrigade, Organisation › Module › Payroll: eBrigade checks the key with PayFit, verifies the company and its SIRET number, then saves it encrypted.
The first sync links employee numbers automatically and suggests the rest by e-mail or by name and date of birth. You confirm, reject or link manually.
Each employee’s Payroll tab shows their PayFit contract, the differences with eBrigade and their payslips. The sync runs again every night.
Where this module really pays off
Private security: the site supervisor checks in eBrigade a guard’s contract end date and weekly hours before assigning shifts.
Cleaning and business services: the records of each site’s staff stay aligned with their PayFit contracts, with no double entry when someone is hired.
Home care services: each care worker views their payslips from their record, without asking for them to be sent.
Groups with several companies: each employing entity links its own PayFit account, and its agencies inherit it.
Frequently asked questions
Is the Payroll module included in eBrigade?
Yes. It is a free module: you switch it on in Module › List, with no option to subscribe to and no extra cost. All you need is a PayFit account and an API key created in PayFit.
Does eBrigade replace PayFit or calculate payroll?
No. Payroll is still run in PayFit. The module reads your employees, their contracts and their payslips from PayFit to show them in eBrigade, next to the schedule and the staff records. Nothing is written to PayFit.
How do I get the PayFit API key?
In PayFit, under Integrations › API access, you create a key, then paste it into eBrigade on the organisation that employs the staff (Organisation › Module › Payroll). eBrigade checks it with PayFit before saving it, encrypts it and never shows it again.
Can several PayFit companies coexist in one instance?
Yes: each employing organisation has its own key, and the organisations attached to it inherit its account by default. A given PayFit company can only be linked to one organisation.
How are employees matched?
By employee number first, which links automatically. Failing that, eBrigade suggests a match by e-mail address, then by name and date of birth, which you confirm or reject. You can also link manually, ignore a collaborator or unlink a pair; a rejected pair is not suggested again.
Which PayFit data is kept in eBrigade?
Only what is needed for matching and comparing contracts: identifiers, employee number, last name, first name, date of birth, e-mails and the contract fields that are compared. Never the social security number, the bank details or the address: a key that gives access to that data is refused when it is saved.
Are payslips stored in eBrigade?
No. The payslip is read from PayFit when you open it and relayed as is, as a PDF, with no copy on the eBrigade server.
Who can see contracts and payslips?
Three separate permissions: set up the PayFit account, view payroll data, view payslips. Only administrators hold them at first; you then grant them to your payroll manager. The organisation can also let each employee view their own payslips from their record.
Does the module work outside France?
Not yet: the module reads PayFit’s French contracts, and a key belonging to a company outside France is refused.
