In short

What is the eBrigade Duty roster module?

A monthly duty roster per team with day/night shifts, skills required per time slot, automatic pre-filling that respects rest periods and hour caps, a daily sheet in PDF and Excel export. It is included at no extra cost in every eBrigade plan.

The problem

Why use the Duty roster module?

Building a duty roster by hand means juggling the skills required on each shift, the rest each person is owed since their last duty, the hour cap not to be exceeded and fairness between staff — without ever assigning the same person twice on the same day. A poorly covered day/night shift or an insufficiently rested driver often only comes to light at the last minute, when it is too late to react.

What changes

What the Duty roster module changes in eBrigade

You set up each duty type once (up to 4 named time shifts, required skills, vehicles, location), then generate the month’s roster for a team. Automatic pre-filling suggests assignments using only available staff, leaving out those without enough rest or who have reached their hour cap, and sharing the load fairly. You adjust, publish in one click, notify participants by email, display the daily sheet as a PDF on your letterhead and export the schedule to Excel.

Features

What you can do with Duty roster

Fully configurable day/night shifts

Each duty type is split into up to 4 named time shifts, with required headcount, vehicles, location and handling of slots that span two days — tailored to your actual working pattern.

Skills required per shift

Define mandatory qualifications slot by slot (crew leader, driver, crew member…). A staff member can only be assigned to a shift if their profile covers the required skills, which eliminates qualification gaps.

Automatic pre-filling of the month

eBrigade fills the roster using only available staff, leaving out those who have not had their mandatory rest or driver rest and those who exceed their hour cap, with either a fair distribution or one weighted towards availability.

One-click publication and notification

Make the roster visible to members, then automatically notify each participant by email with their total duty hours for the month. Staff then sign up on their own from their area or the mobile app.

Daily sheet in PDF and Excel export

Generate the day’s duty sheet as a PDF on your letterhead (photos, roles, phone numbers and headcount as options), ready to display at the station, and export the full monthly roster in Excel format.

Built-in replacements, with SPP/SPV shown separately

From the roster, a staff member can request a replacement: the approval workflow and notifications are triggered and the roster updates once it is agreed. Professional and volunteer staff (SPP/SPV) are shown separately.

How it works

Step by step

1
Configure your duty types

Define up to 4 named time shifts (morning, afternoon, evening, night), their headcount, vehicles and location, and the skills required on each shift. A staff member’s profile must meet these requirements for them to be assignable.

2
Generate the month’s roster

Create the monthly duty roster for a team in one click. eBrigade pre-fills it from available staff, respecting mandatory rest, driver rest and hour caps, and sharing shifts out fairly.

3
Adjust, publish and share

Reassign by hand if needed, publish the roster to make it visible to members and notify participants by email with their total hours. Print the roster, produce the daily sheet as a PDF on your letterhead and export the full month to Excel.

Use cases

Where this module really pays off

Fire and rescue services (SDIS) & firefighters: duty roster with day/night shifts, professional and volunteer firefighters (SPP/SPV) shown separately, skills required per post (crew leader, driver, crew member) and sign-up from the mobile app.

Patient transport & SMUR (French mobile emergency medical units): paramedical duties pre-filled from available staff, respecting mandatory rest and monthly and weekly hour caps.

Private security & guarding: day/night patrol rotations, fair distribution of shifts and a real-time view of which posts are actually covered.

Municipal reserves & civil protection associations: monthly schedule per team, daily PDF sheet to display at the station and Excel export sent to management.

Module FAQ

Frequently asked questions

Does the module really fill in the duty roster on its own?

It pre-fills the month from available staff, respecting the constraints you have set: mandatory rest (12 hours by default, with a dedicated driver rest), monthly and weekly hour caps, and a fair or availability-weighted distribution mode. The proposal can still be edited: you keep control of every assignment before publication.

Can mandatory skills be set per shift (day/night)?

Yes. Each shift within a duty type has its own required skills and headcount. A staff member who does not hold the required qualification cannot be assigned to that slot.

Does the roster distinguish professional from volunteer staff?

Yes. Professional and volunteer firefighters (SPP and SPV) are shown in separate blocks, and duties covered by a professional replacing a volunteer post are tracked with no extra configuration.

How does the module work with staff replacements?

Replacement is built into the duty roster: a staff member asks to be replaced, notifications go to the parties concerned and the roster updates automatically once the replacement is accepted.

In what formats can the schedule be shared?

Three outputs: printing the monthly roster in A4 landscape, a daily sheet as a PDF on your letterhead (with photos, roles, phone numbers and headcount as options) and an Excel export of the full month for management or archiving.

Is the Duty roster module included in eBrigade?

Yes, the Duty roster module is one of eBrigade’s included modules. It is enabled from the settings and works with your existing skills framework, teams and staff.
