eBrigade Video conferencing module

Open an activity’s video call in one click, no account or installation

Enable video conferencing on an activity type or on a specific activity: a dedicated Jitsi room opens directly in the record’s tab. Only people signed up can access it, and a shareable link lets you invite outside speakers.

In short

What is the eBrigade Video conferencing module?

Jitsi video conferencing built into every activity, open to people signed up with no account or installation needed. It is included at no extra cost in every eBrigade plan.

The problem

Why use Video conferencing?

Organising a remote briefing or coordination meeting forces your teams to juggle external tools (Zoom, Teams, Meet) whose links are shared by email or text message — outside the context of the activity. External participants do not always have the right links, and people signed up for an activity have to hunt for the information at the last minute.

What changes

What Video conferencing changes in eBrigade

Video conferencing is enabled per activity type (global setting) or activity by activity, and appears in a dedicated tab on the record via Jitsi (no installation required). People signed up for the activity join the room directly from their account; others are blocked. A copyable direct link lets you invite outside participants, and an alternative external link (with access code and start time) remains possible. The default service is meet.jit.si (8x8, USA) and only records your first name and the initial of your surname; a custom Jitsi domain can be configured to point to another instance.

Features

What you can do with Video conferencing

Enabled per activity type or per activity

Video conferencing is set globally on an activity type, or individually on an activity via a dedicated switch. You decide exactly where video calls are available.

A dedicated Jitsi room for each activity

Each activity has its own room, whose name is derived consistently from the activity code. The room is strictly tied to the activity, which avoids any mix-up between meetings.

Access reserved for people signed up

Only people signed up for the activity (and its managers) can open the room from their account. Users who are not signed up are explicitly blocked.

Shareable direct link and alternative external link

A copyable direct link lets you invite outside participants who have no access to eBrigade. An alternative external link (Webex, for example) can be entered, with the access code and start time displayed.

Name privacy by default

Only the user’s first name and the initial of their surname are sent to the video service. Jitsi’s invitation features are disabled and a pre-join page is shown before entering.

Transparent default service, customisable domain

By default, video calls go through meet.jit.si (8x8, USA), which is stated in the interface. A custom Jitsi domain can be configured to point to another instance.

How it works

Step by step

1
Enable video on the activity type or the activity

Enable video conferencing on an activity type (it then applies to all its occurrences) or on a specific activity. A dedicated Jitsi room, derived from the activity code, is associated automatically and a Video tab appears on the record.

2
Join the room from the activity record

People signed up for the activity open the room directly in the Video tab, with no third-party account or app to install. A pre-join page lets them check microphone and camera before entering; users who are not signed up are blocked.

3
Share the link with outside participants

The manager copies the room’s direct link from the settings tab and sends it to outside participants (partners, authorities, contractors). An alternative external link, with access code and start time, can also be entered.

Use cases

Where this module really pays off

Crisis units & fire and rescue services (SDIS): remote briefings for section leaders, attached directly to the eBrigade activity and accessible in one click.

Training centres & CFAs (apprentice training centres): hybrid sessions with a video room built into the scheduled activity, with no external tool.

Volunteering & multi-site: coordination meetings without travel, accessible from each participant’s activity area.

GDPR-conscious public bodies: enabled per activity type, access reserved for people signed up and only the first name and initial of the surname shared.

Organisations with an existing tool: keep an alternative external link (Webex, etc.) with access code and start time on the same record.

Module FAQ

Frequently asked questions

Do we need to install software or create an account to use video calls?

No. The built-in video calls run on Jitsi and work directly in the browser. Only the user’s first name and the initial of their surname are sent to the service.

Who can access a video conferencing room?

Only people signed up for the activity, along with its managers, can open the room from their account. Users who are not signed up are blocked. To invite someone from outside, the manager copies and sends the room’s direct link.

Where are the video calls hosted?

By default, video calls use the public meet.jit.si service, operated by 8x8 (USA) — this is shown in the interface. A custom Jitsi domain can be configured to point to another instance; eBrigade does not provide a ready-to-use self-hosted Jitsi instance.

Can we use our own video conferencing solution (Webex, Teams)?

Yes. The module accepts an alternative external link, with an optional access code and start time. Jitsi and the external link can coexist on the same activity record.

How is video enabled on an activity?

It can be enabled globally on an activity type — it then applies to all its occurrences — or individually on an activity via a switch. A room is then generated automatically and a Video tab appears on the record.
