Why an AI assistant for your rosters?
Building a duty roster means manually cross-checking availability, qualifications, geographical proximity and team affinities — activity by activity, shift by shift. Every coverage gap is spotted by eye, every assignment is made by hand, and filling a whole month ties up a manager for hours. Operational questions (who is available on the 12th? who holds a given qualification?) mean just as many manual searches across several screens.

The agentic assistant actually carries out the planning actions: it creates activities, assigns and unassigns staff, fills a shift or a whole month from a simple sentence, taking into account availability, qualifications, affinity and geographical proximity. Claude orchestrates server-side PHP functions without ever accessing the database directly: every effect goes through a logged tool. Session memory lets you chain requests without explaining everything again.
Step by step
An administrator enables the AI assistant from its dedicated page, then grants the “AI assistant” permission to the relevant roles. Until the add-on is enabled, all integration points stay inactive: no impact on the rest of eBrigade.
A floating chat bubble appears on eBrigade pages, including the duty roster. You type your request in natural language, in the context of the page you are viewing.
Claude decides what to do and calls server-side PHP functions (list available staff, create an activity, assign a person, fill a period). The model never touches the database directly: every action goes through a logged tool function.
The assistant proposes assignments, favouring staff who are available, qualified, nearby and work well together. Nothing is saved until you confirm: you stay in control to adjust, complete or unassign, and can continue the conversation to refine the request.

What can the AI assistant actually do?
It works on your rosters: create, duplicate or edit an activity, assign or unassign staff, fill a shift or a whole month from one sentence. It also handles availability, skills, vehicles, equipment, consumables and interventions, depending on the features enabled on your instance. It answers operational questions (available staff, qualifications, closest people), analyses coverage gaps and reads attached images or PDFs. Every change is shown to you first, then carried out only after your confirmation.
How does pay-as-you-go billing work?
You top up your eBrigade token balance with prepaid packs, paid by secure payment from your account: 10,000 tokens for €12.50, 50,000 for €62.50, 200,000 for €250 or 500,000 for €625. Your balance is updated automatically after payment, and the tokens used by each exchange are tracked for deduction.
Does the AI access my data directly?
Not the database: Claude decides which actions to take and calls audited server-side PHP functions, each limited to your permissions and logged. However, to answer you, the text of your messages, the results of those functions (names, qualifications, availability…) and attachments are sent to Anthropic’s Claude model, via eBrigade’s servers. If you do not want this processing, leave the module disabled.
Where is the assistant available?
A floating chat bubble is available on every eBrigade page for people with the “AI assistant” permission. Conversations are kept: you can find them again, rename, archive or export them.
Is there a fixed cost or a commitment?
No. The module is free and commitment-free: no fixed cost is added to your plan, and you get 5,000 tokens free to get started, before any purchase. After that, you buy tokens only when you need them, pack by pack, and stay in control of your spending.
