eBrigade Staff number module
A unique staff number for every member, generated automatically
No more duplicates, gaps in the sequence or numbers typed in by hand. You choose the format once; for each new record, eBrigade assigns the next available staff number, checks that it is unique, and displays it everywhere — directory, badges, exports.
These buttons are about the full eBrigade subscription: this module is included at no extra cost in every plan.
Automatic assignment of a unique staff number to each member, in a format you choose (department + year + sequence, incremental or free).
What is the eBrigade Staff number module?
Automatic assignment of a unique staff number to each member, in a format you choose (département + year + sequence, incremental or free-form). It is included at no extra cost in every eBrigade plan.
Why use the Staff number module?
Numbering members by hand always ends badly: a number already taken, another skipped, a format that changes depending on who entered the record. When it is time to print a badge, pull a list or export to a third-party system, these inconsistencies cost you manual corrections — and duplicates that are spotted far too late.
What the Staff number module changes
You define the numbering format just once, from three options: département + year + annual sequence (e.g. 075-26-00042), a simple 5-digit incremental number (e.g. 00042), or free-form entry. Each time a record is created, eBrigade generates the next number, checks that it is unique and saves it. Staff numbers already assigned are kept: the counter resumes from the last number recorded, which you can adjust.
What you can do with Staff number
Département + year + sequence (e.g. 075-26-00042), a simple 5-digit incremental number, or free-form entry. The format is set once in the settings and applies to the whole organisation.
As soon as a member record is created without a staff number entered, eBrigade generates and saves the next number in the active format — no re-entry, no coordination.
Before saving, the module checks that the number does not already exist and increments it until it finds a free value. Manually entering a staff number that is already taken is also rejected.
In the département + year + sequence format, the prefix uses the code of the member’s section (or its parent section): each branch thus gets immediately identifiable staff numbers, within a single reference system.
In the year-based format, the sequence restarts from zero when the year changes and the year updates itself — dated staff numbers with no reconfiguration at all.
The staff number appears in the staff directory, serves as a search criterion (search by name or staff number), and is shown on generated badges and in Excel exports of lists.
Step by step
The Staff number module is turned on from Module › List, at no extra cost. The staff number field then becomes available on staff records.
In the settings, select the format: département + year + sequence, simple incremental, or free-form. You can set the year and the last number recorded to continue your existing numbering.
Each time a record is created, the next available staff number is generated, checked and saved automatically — there is nothing left for you to enter.
The staff number appears in the directory, becomes a search criterion, and is shown on badges and Excel exports.
Where this module really pays off
Fire and rescue services (SDIS) & civil protection: staff numbers generated automatically in the format station code + year + sequence, with no duplicates or skipped numbers.
Associations with large memberships: every newcomer receives their number with no intervention, visible straight away on their badge and in exports.
Federations & multi-site organisations: the prefix uses each branch’s section code, for identifiable staff numbers within a single reference system.
Organisations with a continuous intake: a simple 5-digit incremental format, assigned as soon as the record is created, ideal when only the sequence matters.
Frequently asked questions
Which staff number formats are available?
Three: département + year + annual sequence (e.g. 075-26-00042), a simple 5-digit incremental number (e.g. 00042), or free-form entry. The format is chosen once and applies to the whole organisation. In the département format, the prefix automatically uses the code of the member’s section, which distinguishes branches.
What happens to staff numbers assigned manually before activation?
They are kept. You enter the last number recorded in the settings, and the module continues the sequence from there, without overwriting earlier assignments. On import, a staff number that already exists is detected as a duplicate.
Can I be sure there will never be a duplicate?
Yes. Before each save, eBrigade checks that the generated number does not already exist and increments it until it reaches a free value. If you enter a staff number by hand, a number already used by another member is rejected.
Does the numbering reset every year?
In the year-based format, yes: when the year changes, the sequence restarts from zero and the year updates automatically, with no intervention. The incremental and free-form formats, on the other hand, are not reset.
Where is the staff number used in eBrigade?
It appears in the staff directory, can be searched for (search by name or staff number), and is shown on generated badges and in Excel exports of lists. It is a reference identifier you can reuse in your third-party tools.
Is the module paid?
No. Staff number is included at no extra cost in every eBrigade plan: it is turned on from Module › List. It requires no installation: once it is enabled and the format chosen, assignment is automatic on every new record.
