eBrigade Replacement module
Organise shift replacements in three clear steps
When a rostered member drops out, the slot is filled without phone calls or editing the schedule: once the person in charge approves, eBrigade excuses the rostered member’s absence, signs up the replacement with the same times and even reassigns their fire-engine crew positions. Each stage — request, acceptance, approval — is dated and signed.
These buttons are about the full eBrigade subscription: this module is included at no extra cost in every plan.
Replacement on a shift or activity in three steps: request naming a replacement, acceptance or refusal by the replacement, approval by the manager. On approval, the roster updates itself (the original holder’s absence excused, the replacement signed up with the same hours, fire crew positions reassigned) and every step is dated, signed and logged.
What is eBrigade’s Replacement module?
Replacement on a shift or activity in three stages: a request naming the replacement, acceptance or refusal by the replacement, and approval by the person in charge. On approval, the roster updates itself (the regular member’s absence is excused, the replacement is signed up with the same times, fire-engine crew positions are reassigned) and each stage is dated, signed and logged. It is included at no extra cost in every eBrigade plan.
Why use Replacement?
When a staff member drops out the day before a shift or an activity, finding an available, qualified replacement by phone takes 30 to 60 minutes on average — and the chief often ends up handling it personally, then correcting the roster by hand. Without traceability, informal exchanges lead to disagreements over who agreed to what.
What Replacement changes in eBrigade
The module structures replacement into three clear stages. The rostered member (or the admin) creates the request, naming their replacement. The replacement receives an email and mobile notification, then accepts or declines from their eBrigade area. The person in charge approves or rejects: on approval, the rostered member is marked as excused absent, the replacement is signed up with the slot’s times and duration, and any fire-engine crew positions are reassigned to them. Each stage is dated, signed and kept in a history that can be viewed and filtered.
What you can do with Replacement
On approval, eBrigade switches the rostered member to excused absent (with an automatic comment), signs up the replacement with the slot’s times, duration and on-call duty, and even reassigns the fire-engine crew positions to them — no manual entry in the duty roster.
Request → acceptance or refusal by the replacement → approval or rejection by the person in charge. The dashboard always shows the number of requests pending, accepted, approved and refused, which you can filter on in one click.
Creation, acceptance, approval and rejection each record both the date and the person who acted. A history log for each request traces the whole process — no more disputes over who agreed to what.
Replacement applies to the parts (periods) of an activity: you can cover a single part of a multi-period shift or several at once, and the duration transferred to the replacement matches exactly the portion taken over.
The rostered member, the named replacement and authorised managers are notified by email and mobile notification at each change of status: request created, accepted, declined, approved or rejected.
A manager can create and approve a replacement in a single operation. And when a period is actually taken over, any other duplicate open requests for the same rostered member and the same period are automatically deleted.
Step by step
From the request, the member indicates the shift and the periods to cover and selects a replacement. The request goes out instantly, with no phone call.
The replacement receives an email and mobile notification and replies from their eBrigade area. If they decline, the slot reopens and another candidate can be named without starting from scratch.
Once the person in charge approves, the rostered member is marked as excused absent, the replacement is signed up with the right times and their fire-engine crew positions are reassigned. The full history — request, acceptance, approval — remains available and can be filtered by period.
Where this module really pays off
Fire and rescue services (SDIS) & firefighters: the rostered member reports their absence and names a replacement — who accepts or declines, the person in charge approves, and fire-engine crew positions are reassigned automatically.
Patient transport & SMUR (mobile emergency and resuscitation units): replacement on paramedical shifts with a three-stage process (request → acceptance → approval) and a dated history you can consult.
Private security: every shift swap is recorded, dated and signed in eBrigade — no more informal arrangements without traceability.
Civil protection & rescue associations: cover for a single part of a multi-period shift without freeing up the whole slot, with automatic notification of those involved.
Frequently asked questions
Who can start a replacement request?
The rostered member themselves or an authorised manager. The rostered member names their replacement; a manager can create and approve the replacement in a single operation. The named replacement receives a notification and can accept or decline from their area. Approval by the person in charge makes the replacement official.
Who receives notifications at each stage?
The rostered member concerned, the named replacement and authorised managers are notified by email and mobile notification at each change of status: request created, accepted or declined by the replacement, approved or rejected by the person in charge. The duty roster updates automatically on approval.
What actually happens in the roster on approval?
eBrigade marks the rostered member as excused absent with an automatic comment, signs up the replacement for the period or periods taken over while keeping the times, duration and on-call duty, and reassigns any fire-engine crew positions to them. No manual entry is needed in the duty roster.
Can just part of a shift be replaced?
Yes. Replacement applies to the parts (periods) of an activity: you can cover a single period of a shift split into several, or several at once. The duration transferred to the replacement matches exactly the portion taken over.
Does this module work for shifts as well as other activities?
Yes. It covers activities scheduled in eBrigade — shifts and other activity types alike — with the same three-stage process. The replacement history can be viewed and filtered by section, by period and by person (replaced or replacement).
Does the module keep a record in case of dispute?
Yes. Each request, acceptance, approval and rejection records the date and the person who acted, and a history log for each request traces the whole process. Everything can be reviewed afterwards.
