In short

What is the eBrigade Accounting module?

Single-entry bookkeeping: bank accounts (IBAN), entry and approval of transactions, accounting periods, general ledger, income statement and dashboard — with PDF and Excel exports for your chartered accountant. It is available as an option, so each organisation can enable it as needed.

The problem

Why use Accounting?

The organisation’s financial transactions are scattered: event income in a spreadsheet, expenses on a bank statement, membership dues somewhere else. The books are kept by hand without a structured chart of accounts, the real account balance is never up to date, and preparing the income statement at year end takes several days with a high risk of data-entry errors.

What changes

What Accounting changes in eBrigade

You keep single-entry books linked to your bank accounts and to a configurable chart of categories. An invoice is entered simply by uploading it: photo or PDF, and the amount including VAT, the date, the supplier, the payment method and the accounting category fill themselves in (AI assistant module required). Each transaction follows a draft, approval then posting workflow, and can carry its supporting documents as attachments. The dashboard shows the balance, income, expenses and breakdown by category, and you export the general ledger and income statement to PDF or Excel, filtered by section and accounting period.

Features

What you can do with Accounting

Automatic invoice reading

Upload the invoice, photo or PDF: the amount including VAT, the date, the supplier, the number, the payment method and the accounting category fill in the form. The category is taken from your own chart of accounts, never invented, and the invoice stays attached as a supporting document. Requires the AI assistant module.

Bank accounts and IBAN

Create, edit and delete several bank accounts per section, with validated IBAN entry and internal transfers between accounts. The balance of each account is tracked continuously.

Transaction entry and approval workflow

Enter income, expenses and transfers via a form (category, amount, date, comment) with attachments. Each transaction follows a draft, approval then posting workflow, with a “To approve” counter and auto-approval that can be set per section.

Dashboard and charts

KPI cards show the balance, income, expenses and number of transactions, alongside charts of expenses by category, balance over time and monthly trend.

Configurable chart of accounts and categories

Manage your income and expense categories, set default categories and turn the visibility of each category on or off per section.

Smart accounting periods

Create and edit your accounting periods; the module automatically detects gaps between periods and orphan transactions, and can create the missing periods to cover them.

General ledger, income statement and PDF/Excel exports

View the general ledger on screen with a date-range filter, and export both the general ledger and the income statement to PDF and Excel, filtered by section and accounting period.

How it works

Step by step

1
Create your accounts and chart of accounts

Add your bank accounts with their IBAN (validated on entry) and configure your income and expense categories, whose visibility is set per section.

2
Upload the invoice, or enter it by hand

With the AI assistant module, upload the photo or PDF: the fields fill in, the invoice stays as a supporting document, and you review and approve. Without it, you record each income or expense item via the form and attach the supporting documents. The transaction moves from draft to approved then posted; auto-approval can be enabled per section.

3
Manage from the dashboard

Track the balance, income, expenses and number of transactions on KPI cards, with charts of expenses by category and balance over time by accounting period.

4
Export for your chartered accountant

Generate the general ledger and income statement in PDF or Excel for the chosen period, filtered by section, ready to send to your chartered accountant or board of directors.

Use cases

Where this module really pays off

Associations under the French 1901 law: single-entry bookkeeping, with a general ledger and income statement exportable to PDF and Excel for the chartered accountant.

Treasurers with several accounts: tracking of multiple bank accounts (IBAN), internal transfers between accounts and a consolidated balance on the dashboard.

Organisations with clear financial years: accounting periods with automatic detection of gaps and orphan transactions, so nothing falls outside a period.

Multi-organisation federations: accounting by section with filtering by account, category and period, and chart-of-accounts visibility set per section.

Reimbursement tracking: a dedicated page listing reimbursements to members with their status, commitment date and payment date.

Budget management: entry of forecast transactions to compare budget against actuals in the Forecast view.

Overstretched volunteer treasurers: upload the invoice as a photo or PDF, fields filled in and an accounting category suggested from your chart, to work through a pile of receipts without spending the evening on it (AI assistant module required).

Module FAQ

Frequently asked questions

What kind of accounting does this module support?

Single-entry bookkeeping: you enter your income and expenses, linked to your bank accounts and a configurable chart of categories, with a cash-flow style general ledger and income statement. It is not double-entry accounting software.

Is transaction entry manual or automatic?

Both. You can enter each transaction via the form (category, amount, date, attachments), or upload the invoice — photo or PDF — and let automatic reading fill in the amount including VAT, the date, the supplier, the payment method and the accounting category. You review, you approve. Auto-approval can also be enabled per section.

How does automatic invoice reading work?

You upload a photo or PDF into the transaction form. The document is analysed and the fields fill in: amount including VAT (not excluding VAT), invoice date, supplier, number, payment method inferred from the payment details, and a category chosen from YOUR chart of accounts. The invoice stays attached to the transaction as a supporting document. A field you have already filled in is never overwritten.

Does the suggested accounting category come from a standard chart?

No, it comes from your organisation’s chart of accounts. The reading can only suggest a category that already exists in your setup, filtered by whether it is an expense or income. If none matches, the field is left empty rather than given an invented value.

What happens if the document is unreadable, or is not an invoice?

The reading says so and fills in nothing rather than entering a doubtful value. The file is still attached to the transaction, so you do not have to upload it again after manual entry. And if you upload an invoice issued by your own organisation on an expense screen, the mismatch is flagged before saving.

Is automatic reading included in the Accounting module?

No. It relies on the AI assistant module, included with no extra subscription but to be enabled, which works with tokens counted per use. Without it, the Accounting module works exactly as before, with manual entry. The same mechanism already reads receipts in the Expense report module.

Can I manage several bank accounts?

Yes. You add as many bank accounts as needed per section, with their IBAN validated on entry, and you record internal transfers between accounts. The balance of each account is tracked and consolidated on the dashboard.

Can I export the data for my chartered accountant?

Yes. The general ledger and income statement can be exported to PDF and Excel, filtered by accounting period and by section. The general ledger can also be viewed on screen with a date-range filter.

How do accounting periods work?

You create and edit your accounting periods. The module automatically detects gaps between periods as well as transactions that fall in no period, and can create the missing periods to cover these orphan transactions.

Does the module handle reimbursements to members?

Yes, a dedicated Reimbursements page lists reimbursements with their status, commitment date and payment date. Detailed expense entry is still handled by the Expense report module.
