eBrigade Participation hours module
Keep track of each member’s total participation hours
eBrigade automatically adds up each member’s participation hours from the activities recorded. You set a maximum threshold (monthly or annual) and show this total in key places in the application.
These buttons are about the full eBrigade subscription: this module is included at no extra cost in every plan.
Automatic running total of participation hours per person, monthly or yearly, with a configurable cap and one-click recalculation. You choose where to show it: when adding a member to an activity, in the staff list, in an activity’s sign-up list and in the participation view.
What is the eBrigade Participation hours module?
Automatic totals of participation hours per person, on a monthly or annual basis, with a configurable hours cap and one-click recalculation. You choose where to show this total: when adding a member to an activity, in the staff list, in the list of people signed up for an activity and in the participation view. It is included at no extra cost in every eBrigade plan.
Why track total participation hours?
Knowing how many hours each member has already built up means, on a spreadsheet, going through activity by activity and leaving out cancellations and absences. It is slow, never up to date, and impossible to have to hand at the right moment — when signing someone up for a new activity.
What Participation hours changes in eBrigade
The module automatically adds up the duration of all recorded participations (EP_DUREE) per member, per month and per year, excluding cancelled events, absences, former members and external people. You set a maximum number of hours, monthly or annual, and choose to show the total wherever it is useful in the application. A button recalculates all the totals whenever you wish.
What you can do with Participation hours
Hours are added up from the duration (EP_DUREE) of each recorded participation, with no re-entry. The data comes straight from the activities.
The total is stored per member, per month and per year. You have the total for the current year and the month-by-month breakdown.
The calculation leaves out cancelled events and absences, as well as former members and people with external status. The counter reflects the participation actually carried out.
Set a maximum number of hours per member, monthly or annual as you choose, to track how close members are to the cap set by your organisation.
Four switches control where the total appears in the application: when adding staff to an activity, in the staff list, in an activity’s list of people signed up and in the participation view.
The “Reset” button recalculates all totals for every active member and automatically purges the totals from previous years.
Step by step
The module adds a “Participation hours” tab to the settings. No extra data entry: hours are calculated from the participations already recorded in eBrigade.
Enter a maximum number of hours per member and choose the period: monthly or annual. This threshold is the reference for tracking how close members are to the cap.
Four switches determine where the hours total appears: when adding staff to an activity, in the staff list, in an activity’s list of people signed up and in the participation view.
The “Reset” button recalculates each active member’s hours total in one click. Totals from previous years are purged automatically.
Where this module really pays off
Fire and rescue services (SDIS) & rescue associations: participation hours totalled per member, fed automatically by the activities recorded.
Organisations with quotas: maximum hours threshold per member, monthly or annual, to spot those approaching the cap.
Activity managers: hours total shown when signing up a member, to make an informed decision.
Commitment tracking: counters per member for the current year, recalculated in one click after an adjustment.
