eBrigade Inventory module
Know what should be in every vehicle, and what is really there
Finding out just before departure that two tourniquets are missing, or that a kit is leaving with expired dressings: that is what happens when the inventory lives in a spreadsheet. The module manages your stock by storage location in three tabs (equipment, uniforms, consumables), with quantities adjusted directly in the list and a dated history showing who changed what. It adds the standard inventory: you describe once what a first-aid vehicle (VPSP), an advanced medical post (PMA) kit or a store should contain, link it to every resource concerned, and eBrigade continuously compares what should be there with what is actually there.
These buttons are about this optional module: add-on pricing and a 1-month trial of the module.
Stocks of equipment, uniforms and consumables per storage location, with a dated, named history of changes and tracking of expiry dates. The module adds the reference inventory: you describe once what a vehicle, a kit or a store should contain, attach it to all the resources concerned, and eBrigade keeps comparing the expected and the actual — what is missing, what is short, what is there in excess. A single screen gathers everything that needs action, anomalies first, and one button fills the gap from your stocks without leaving the page.
What is the eBrigade Inventory module?
Stocks of equipment, uniforms and consumables by storage location, with a dated history of every change showing who made it, and expiry date tracking. The module adds the standard inventory on top: you describe once what a vehicle, a kit or a store should contain, link it to every resource concerned, and eBrigade continuously compares what should be there with what is actually there — what is missing, what is short, what is there in addition. A single screen brings together everything that needs action, problems first, and one button fills the gap from your stock without leaving the page. It is available as an option so that each organisation can switch it on as needed.
Why use Inventory?
You don't know how much PPE is available when a call-out leaves, and consumables expire or get ordered twice because nobody can see the stock. Counts are done by hand, in a spreadsheet, with no record of who changed which quantity or when.
What Inventory changes in eBrigade
The inventory centralises equipment, uniforms and consumables by storage location, in three dedicated tabs. Quantities are adjusted directly in the list, every change is recorded with its author and date, and expiry dates are flagged with a coloured badge. On top of this foundation, the standard inventory answers the question that matters before departure: is this vehicle complete? Each linked resource shows its gap — what is missing, what is short, what is there in addition — and a single screen lists everything that needs action, problems first. You no longer go through vehicles one by one to find out.
What you can do with Inventory
Stock is organised in three separate tabs, each of which can be switched on independently. Uniforms also have size tracking and consumables an expiry date.
Change the stock directly in the table, with the keyboard or the + and − buttons. The quantity is saved immediately, without changing screen or opening a record.
Every quantity change is logged with its date and the author’s name and photo. An item’s full history can be viewed at any time in a dedicated window.
For consumables, the expiry date is shown with a coloured badge: red when the date is approaching (less than 30 days), neutral otherwise. You can see at a glance what needs to be used or replaced.
Filter the stock by storage location and by type of equipment or consumable. The table can also be searched, is paginated and sortable column by column, with a mobile-friendly display.
On the consumables tab, scan an EAN barcode to instantly filter the stock on the matching type, or a QR code to open the consumable’s record directly.
Describe what a first-aid vehicle (VPSP), a PMA kit, a medical bag or a store should contain, then link this reference to every resource concerned. The description is built from a resource that is already correctly stocked: you open its Inventory tab and save it as the reference. It can freely mix equipment and consumables, and can require an entire kit. When you change it, every resource that uses it takes the change into account immediately.
Each linked resource shows an expected / present / gap table, with four distinct situations: compliant, missing, insufficient quantity, and present but not in the reference. A surplus is never counted as a problem — a resource holding more than its reference remains compliant; the information is simply flagged. A vehicle is checked by going down into the kits it carries, a store by taking into account the kits kept in it.
Tracked vehicles, kits and stores appear in a single list, problems first, with the number of gaps for each. It is the morning screen: you see what needs dealing with without opening records one by one. When a consumable is missing, a “Complete” button offers to fill the gap from your stock without leaving the page.
Step by step
Record equipment, uniforms and consumables, and link them to a storage location. Each item appears in the matching tab with its organisation, type and quantity.
When stock changes, edit the quantity directly in the list with the + and − buttons or by typing the value. Write access is restricted to users with the corresponding permission.
Spot consumables close to their expiry date thanks to the coloured badge, and view at any time the dated history of changes to an item, showing who made them.
Save the contents of a correctly stocked resource as the reference, link it to vehicles, kits and stores of the same type, then let eBrigade compare. The Compliance screen tells you which are complete and which are not.
Where this module really pays off
Fire and rescue services (SDIS) & firefighters: stocks of PPE, uniforms (with sizes) and consumables per station, editable in the list and tracked by author.
Event safety: deployment equipment (first-aid kits, stretchers, barrier tape) inventoried by storage location and adjusted in real time.
Associations & logistics: consumables tracked with expiry dates flagged by a coloured badge to avoid using expired stock.
Multi-site organisations: stock filtered by storage location and type, with EAN barcode scanning to find a consumable.
Emergency medical response: standard inventory by vehicle category (VPSP, light vehicle, PMA kit), completeness checks before every departure and replacement of expired consumables from the record.
Handling batch recalls: the manufacturer’s batch number is entered next to the expiry date and is searchable — a single search finds every vehicle, kit and store concerned.
Frequently asked questions
How are equipment, uniforms and consumables organised?
The module has three separate tabs — equipment, uniforms, consumables — each of which can be switched on independently. Uniforms have size tracking and consumables an expiry date.
Can stock be filtered by storage location or equipment type?
Yes. The inventory can be filtered by storage location and by type of equipment or consumable, which suits organisations with several stations or sites. The table can also be searched and is paginated.
Is there a record of quantity changes?
Yes. Every stock adjustment is recorded in a history with its date and the author’s name and photo. An item’s full history can be viewed at any time in a dedicated window.
How are consumable expiry dates handled?
Each consumable can carry an expiry date shown with a coloured badge: red when the date is close (less than 30 days), neutral otherwise. This makes it quick to spot what needs to be used or replaced.
Can items be scanned?
On the consumables tab, scanning an EAN barcode filters the stock on the matching type, and scanning a QR code opens the consumable’s record directly.
What is a standard inventory?
It is the description of what a resource should contain: the expected equipment and consumables, with their quantities. You build it from a vehicle or kit that is already correctly stocked, then link it to every resource of the same type. A single “VPSP” standard inventory serves all your VPSPs, and changing it updates the reference for all of them at once.
What can a standard inventory be applied to?
To a vehicle, to an equipment kit (medical bag, PMA kit, oxygen kit) and to a store — cabinet, container, storage room. A vehicle is checked by going down into the kits it carries, a store by taking into account the kits kept in it.
How do I know which vehicles are incomplete?
A Compliance screen lists every resource linked to a standard inventory, all types together, with its status and number of gaps, problems first. You open the relevant record from this list, without going through your vehicles one by one.
Is an extra item counted as a problem?
No. A resource that holds more than its reference remains compliant: the information is flagged without triggering an alert. Only missing items and insufficient quantities put a resource into the problem list.
Is this module linked to Logistics maintenance or Suppliers?
Yes. An inventoried item can have its maintenance tracked in the Logistics maintenance module. Purchases and orders can be tracked through the Suppliers module.
