eBrigade Suppliers module
Track every purchase and order by supplier
Centralise your suppliers and their orders in eBrigade: each item is linked to its supplier with a price, each order follows a four-status cycle and, on receipt, the quantities are automatically added to your stock.
These buttons are about this optional module: add-on pricing and a 1-month trial of the module.
Supplier directory with a product catalogue and prices per supplier, orders with 4 statuses (draft, sent, confirmed, received) and stock increased automatically on receipt. EAN barcode scanning, quick ordering below the minimum threshold, time-stamped audit log and filters by section and dates.
What is the eBrigade Suppliers module?
A supplier directory with a product catalogue and prices per supplier, orders with 4 statuses (draft, sent, confirmed, received) and stock automatically increased on receipt. EAN barcode scanning, quick ordering below the minimum threshold, a time-stamped audit log and filters by section and by date. It is available as an option, so each organisation can enable it as needed.
Why use Suppliers?
Supplier contact details sit in the manager’s inbox, purchase orders in a shared folder, and nobody can quickly tell who ordered what or from which provider. Tracing the history of an equipment order takes several minutes and often involves several people.
What Suppliers changes in eBrigade
Each supplier has a catalogue of equipment and consumables with a unit price per item. You create an order, add the product lines (by hand or by scanning an EAN barcode), and track it through its four statuses: draft, sent, confirmed, received. When it moves to “received”, the quantities ordered are automatically added to your inventory — with no re-entry. Each order keeps a time-stamped log showing who created or edited it and every status change.
What you can do with Suppliers
Link each supplier to the equipment and consumables it offers, with a unit price per item. The catalogue feeds order entry and the automatic calculation of amounts.
Each order follows a clear cycle: draft, sent, confirmed, received. The detail editor manages product lines (add, remove, quantities) with automatic recalculation of the total price.
As soon as an order moves to “received”, the quantities ordered are automatically added to the stock of equipment and consumables in the inventory, with no re-entry at all.
On the order form, scan an EAN barcode to identify the matching consumable and speed up selecting the product to add.
From the stock screens, place an order when a consumable or piece of equipment falls below its minimum: the quantity to order is pre-filled with the shortfall found.
Each order keeps a time-stamped history (creation, edits, status changes) with its author. Lists can be filtered by section, sub-section and date range.
Step by step
Fill in a record for each supplier with its contact details, contact person, SIRET number and fax. Records can be filtered by section, with a toggle to include sub-sections.
Link each supplier to the equipment and consumables it supplies, with a unit price per item. This catalogue then feeds order entry.
Add product lines by hand or by scanning an EAN barcode, adjust quantities (the total price recalculates), then move the order from draft to sent, confirmed and received.
When the status changes to “received”, the quantities are automatically added to the stock of equipment and consumables. The audit log keeps the timestamp and author of each step.
Where this module really pays off
Fire and rescue services (SDIS) & logistics: a catalogue of equipment, PPE and consumables per supplier, with stock automatically replenished on receipt.
Event security: suppliers of signage, fencing and equipment, with orders tracked from draft to receipt.
Multi-site associations: orders filtered by section with a sub-section toggle, each manager seeing only their own scope.
Stock managers: quick ordering triggered as soon as a consumable falls below its minimum threshold, with the shortfall pre-filled.
Accounting & purchasing: order history filtered by supplier and by date range to keep spending under control.
Frequently asked questions
How does an order’s life cycle work?
An order goes through four successive statuses: draft, sent, confirmed, received. You move the order forward as it is processed, and every status change is recorded in its audit log with its author and timestamp.
Is stock updated automatically on receipt?
Yes. When an order moves to “received”, the quantities on each line are automatically added to the stock of the equipment and consumables concerned in the eBrigade inventory, with no re-entry.
Can prices be attached to a supplier’s items?
Yes. Each supplier has a catalogue of equipment and consumables, with a unit price per item. When an order is entered, the total amount recalculates automatically based on the quantities.
How can I quickly add a product to an order?
You add lines by hand from the supplier’s catalogue, or you scan an EAN barcode: the matching consumable is identified to speed up selection. An order can also be triggered from the stock screen when an item falls below its minimum threshold.
Who can see and edit suppliers and orders?
Access is governed by eBrigade permissions: separate create, edit and delete permissions apply to suppliers and to orders. Lists are filtered by section and sub-section, with each manager seeing only their own scope.
How can I find a past order?
The order list can be filtered by supplier, by section and by date range. Each order shows its status, amount and time-stamped log so you can trace how it was handled.
