The eBrigade Documentation feature allows you to easily store, organize, and share all important documents for your organization: procedures, internal guides, administrative documents, forms, reports, etc.
It serves as a centralized library, accessible at any time by your members.
🎯 What is Documentation used for? #
Documentation is useful for:
- Making official guides and procedures available
- Centralizing documents required for missions
- Facilitating access to information for new members
- Avoiding loss of files scattered across conversations or external tools
🗂️ How is it organized? #
Documentation is based on two elements:
- Categories ➜ group documents by theme
- Documents ➜ PDF files, images, Word, Excel, or internal notes
Each document has:
- a name,
- a category,
- a description (optional),
- access rights (optional).
📍 Where to find documents in eBrigade? #
Documents are accessible in several places for easy retrieval:
1. Main menu “Documentation” #
This is the central space where all documents are listed by category.
Ideal for searching or browsing all files.
2. From a mission or event #
If a document is linked to a mission (e.g., procedure, plan, job description), it appears directly:
- on the mission page,
- under the Documentation or Associated Documents tab.
This allows you to have all necessary resources in context.
3. In specialized modules #
Certain modules (e.g., training, equipment, HR) allow documents to be attached:
- Equipment
- Vehicle
- Client (CRM)
These documents will then appear directly in the relevant module.
4. From a member’s profile (for administrative documents) #
Personnel-related documents (certificates, training, certifications, etc.) can be viewed:
- in the member’s profile,
📥 Add a document #
To add a file:
- Click on “Add a document”
- Choose the category
- Select your file
- Add a description if needed
- Save
The document is immediately available.
🔍 Search for a document #
You can use:
- a keyword search engine,
- category filters,
- a clear display.
🔒 Access rights management #
You can:
- make a document visible to all,
- restrict it to certain roles,
- limit it to administrators.
🔄 Update or replace a file #
At any time, you can:
- update a document,
- replace an old file,
- modify the category or description.
